Purposes and legal basis of processing
We process personal data in order to:
- handle enquiries and prepare quotes,
- perform and fulfil orders,
- comply with legal obligations, including issuing invoices (Article 6(1)(c) GDPR),
- establish, exercise or defend legal claims (Article 6(1)(f) GDPR),
- keep the website secure and working (Article 6(1)(f) GDPR).
For enquiries and orders, the legal basis is Article 6(1)(b) GDPR (steps taken at your request before entering into a contract, and performance of the contract) where you act on your own behalf. Where you contact us on behalf of a company, the legal basis is Article 6(1)(f) GDPR: our legitimate interest in handling enquiries and orders from the business you represent.
Recipients of data
Data may be disclosed to entities that provide services on our behalf: vh.pl (website hosting and e-mail) and our external accounting office. We also pass data to the courier company that delivers your order and to the bank that handles payments. Data is processed in the European Economic Area. When we deliver an order to the United Kingdom or reply to an enquiry from there, data is transferred to the United Kingdom, which the European Commission recognises as providing an adequate level of data protection.
Data retention period
Data related to orders is kept for the period required by tax law (5 years from the end of the calendar year). Enquiries that do not lead to an order, including the data from the contact form and our e-mail correspondence, are kept for no longer than 3 years from the last contact (the limitation period for claims).
Website logs
When you visit the website, the hosting server automatically records technical data in its logs: IP address, date and time, the address of the page and information about your browser. We use these records to keep the website secure and working and to see how it is used (Article 6(1)(f) GDPR). They are kept for up to 2 months.
Your rights
You have the right to access your data, to rectification, erasure and restriction of processing, and to data portability. For matters relating to personal data, write to studio@domingi.pl.
Right to object: where we process your data on the basis of our legitimate interest (Article 6(1)(f) GDPR), you can object at any time on grounds relating to your particular situation. Write to studio@domingi.pl.
You also have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO) in Poland, or with the data protection supervisory authority in the EU Member State of your habitual residence or place of work. If you are in the United Kingdom, you can also lodge a complaint with the UK Information Commission (ICO). If you are in the United Kingdom and believe we have breached data protection law, you can first complain to us at studio@domingi.pl; we will acknowledge your complaint within 30 days.
